This Privacy Policy is an integral part of General Terms & Conditions for Donations of SYMBIOZA.

SYMBIOZA commits to respecting the privacy of the donors and protecting their personal data. In compliance with the EU General Data Protection Regulation (GDPR), this policy sets out how the personal data you provide to us, and the system information we collect from you will be processed.

Personal Information SYMBIOZA may collect from you and why

“Personal Information” is information that identifies you as an individual or relates to an identifiable person.

SYMBIOZA collects Personal Information and keeps it up to date for:

  • Fundraising purposes – to raise funds to support our organisation;
  • Communication and advocacy purposes - to raise awareness about our work and wider reforestation and environmental issues;
  • Recruitment and Human Resources purposes.

SYMBIOZA collects Personal Information that you provide, such as your name, country and e-mail, if you donate as Individual/s (family, household, community, circle of friends) and your country, legal name, legal ID (Tax ID, VAT number or another), registration address and e-mail, if you donate as a Legal entity (company, governmental entity or NGO). For fundraising purposes, we will also collect bank or billing information.

By submitting Personal Information relating to other people, you confirm that you have the authority to do so and that they consent with the use of their Personal Information in accordance with this Data Privacy Policy.

If the sum of your donation is equal to or greater than EUR 15 000 we will ask for additional information from you to confirm detailed identity information (for example, a passport, a driving licence, a trustee address and the date ofbirth).We confirm that we will hold all information you provide to us under this clause securely and that this information will only be used for the purposes of regulatory compliance and to prevent or detect frauds described in section 3 Donation payment terms and conditions of our General Terms and conditions.

Children under the age of 14 can only participate with the consent of a parent / guardian. By agreeing to this policy, you declare that you are over this age.

How SYMBIOZA collects personal information

Personal Information is collected when you:

  • Subscribe to our newsletter;
  • Donate to us, either directly, or through third party donation partners;
  • Contact us by e-mail, phone or when you complete the contact form on our website;
  • Meet us face to face.

How SYMBIOZA processes and stores Personal Information

SYMBIOZA is committed to protecting your Personal Information. We collect only the Personal Information needed to interact with you or that we are required to collect by law and we take all the relevant protection measures.

We keep all Personal Information related to a financial transaction, securely saved in our accounting and contact database, for as long as we have an active business relationship and thereafter, for as long as we are legally held to keep this information for auditing purposes. Fundraising contacts that have not materialised and are no longer active will be kept for up to five years for a follow-up. Contacts wishing to receive our newsletter are asked to opt in and will remain in our database until they opt out, and professional networking contacts for our advocacy work will be kept in our database for up to five  years after the last active contact.

When you connect with us on social networks, we do not collect any of your Personal Information through these networks as we use these networks solely for sharing information and communication materials.

System information SYMBIOZA may collect from you and how we use it

We may collect your IP address, which is a number that is automatically assigned to the computer that you are using by your Internet Service Provider. An IP address may be identified and logged automatically in our server log files whenever a potential donor accesses the Sites, along with the time of the visit and the page(s) that were visited. Collecting IP addresses is a common practice and is done automatically by many websites, applications and other services. We use IP addresses for purposes such as calculating usage levels, helping diagnose server problems, and administering the Sites. How you can control and restrict the use of your system information

Set your web browser to inform you when cookies are being set before a cookie is stored, and refuse any request to set cookies from SYMBIOZA (for past activity, erase all SYMBIOZA cookies from your hard drive).
